Cancellation Refund Policy

We understand that international travel plans can change. A private journey through India often involves multiple advance reservations, including hotels, transportation, guides, wildlife permits, flights, trains, and special experiences. Many of these services require deposits or full payment well before your arrival.

This policy explains how cancellations and refunds are handled by Luxury Trip To India. The specific terms stated in your confirmed proposal or invoice will take precedence if they differ from the general conditions below.

Cancelling Your Trip

All cancellation requests must be submitted to us in writing by email by the person who made the booking or an authorized representative.

Your cancellation becomes effective on the date we receive and acknowledge the written request.

We recommend including your booking reference, lead traveler’s name, scheduled arrival date, and a clear request to cancel the trip.

Once processed, we will provide written confirmation of the cancellation and advise you of any refund due after applicable charges.

Cancellation Charges

Unless different terms were provided with your confirmed itinerary, the following general cancellation schedule applies:

These percentages apply to the overall booking unless particular services carry stricter cancellation conditions.

Non-Refundable Travel Arrangements

Certain services may become partially or completely non-refundable from the time they are booked, regardless of when the overall trip is canceled.

These may include:

  • Domestic or international airline tickets
  • Train reservations
  • Wildlife safari permits and park fees
  • Palace and luxury hotels with special booking conditions
  • Peak-season and holiday reservations
  • Festival and special-event accommodations
  • Private villas, camps, and exclusive-use properties
  • Tickets and prepaid entrance fees
  • Special experiences arranged exclusively for your party
  • Services specifically identified as non-refundable before confirmation

If such arrangements form part of your trip, their actual cancellation costs will apply in addition to, or where appropriate instead of, the standard schedule above.

We will make relevant non-refundable conditions clear whenever reasonably possible before you confirm the booking.

Peak Season and Special-Date Bookings

Travel over Christmas, New Year, major Indian festivals, fairs, special events, and other high-demand periods may be subject to stricter hotel and supplier conditions.

Some luxury hotels require substantial deposits or full non-refundable payment several months before arrival.

The cancellation terms communicated with your individual proposal or booking confirmation will apply when they differ from this general policy.

Changes Instead of Cancellation

If your travel plans change, contact us before canceling the entire journey.

Where suppliers permit, we may be able to adjust travel dates, accommodations, routing, or other arrangements. Changes remain subject to availability, revised rates, supplier conditions, and any amendment fees.

Payments already made cannot automatically be transferred to new travel dates. This depends on the terms of each hotel and service provider involved in your booking.

Cancellation After Your Trip Has Started

No refund is normally available for accommodations, transportation, sightseeing, meals, guides, activities, or other confirmed services that you choose not to use after your journey has begun.

This includes late arrival, early departure, missed transfers, missed sightseeing, or voluntary changes made during the trip.

If an unused service results from circumstances outside your control, we will assist where reasonably possible with any claim or supplier request, but a refund cannot be guaranteed.

Flight and Train Cancellations

Airline and railway bookings are governed by the cancellation, amendment, and refund conditions of the applicable carrier.

If a flight or train is delayed, rescheduled, or canceled by the operator, we will assist with adjustments to your India arrangements where reasonably possible.

Any additional hotel nights, transfers, alternative transportation, or other services required as a result may involve additional costs unless covered by the carrier or your travel insurance.

Wildlife Safari Cancellations

Safari permits in India are frequently issued under strict government rules and may be non-refundable, non-transferable, or difficult to amend once confirmed.

National park closures, changes to safari zones, weather conditions, government decisions, or wildlife movements are outside our control. Wildlife sightings are never guaranteed.

The applicable park authority’s rules will determine whether any refund is available when a safari cannot operate.

How Refunds Are Processed

If your cancellation qualifies for a refund, we will calculate the amount after deducting applicable cancellation charges, non-refundable supplier costs, and any banking or payment-processing charges that cannot be recovered.

Approved refunds will normally be returned using an appropriate payment method after we have received any applicable refunds from the suppliers involved.

International banking systems, card processors, and individual suppliers can affect how long the funds take to reach your account.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance soon after confirming your trip.

Your policy should be appropriate for the total value of your vacation and may include protection for trip cancellation, interruption, medical emergencies, evacuation, baggage problems, and travel delays, subject to the insurer’s terms.

Luxury travel in India can involve substantial advance commitments to hotels and specialist suppliers. Travel insurance can therefore be particularly important if an unexpected event prevents you from traveling.

Circumstances Beyond Our Control

Occasionally, a trip or individual service may be affected by circumstances that could not reasonably be controlled or prevented.

These may include severe weather, natural disasters, government restrictions, civil disturbances, strikes, public-health events, transportation disruption, road closures, security concerns, or decisions made by public authorities.

When this occurs, we will make reasonable efforts to assist with alternative arrangements. Refunds, credits, or date changes will depend on the terms offered by the hotels, carriers, and other suppliers involved.

Any additional expenses resulting from alternative arrangements may be payable by the traveler and should be referred to your travel insurer where appropriate.

If you are considering changing or canceling a confirmed trip, contact Luxury Trip To India as early as possible.

The earlier we receive your request, the greater the possibility that some hotels and other suppliers may still permit changes or reduce cancellation costs.

We will review your individual booking and explain the applicable charges before processing the cancellation whenever circumstances allow.
